4 Proven Steps to Sharpen Your Time Management Skills

 



Why Manage Your Time?

One of the most important skills you can master to stack the odds of success in your favour is your ability to manage your time effectively.   
Your time is your life! 
For many of us, time management is a tough and persistent challenge.  
It's challenging to undo longlasting habits including procrastination, overscheduling, and our tendency to becoming distracted by the latest 'shiny bright object' that catches our attention online.  
Next thing you know, 2 hours have slipped away and nothing on your 'To-Do' list is checked off. 
Your ability to manage your time and your priorities applies to every aspect of your life, both professional and personal - your relationships, your health and your business will benefit immeasurably when you master your time. 
In fact - this one crucial skill - your time management abilities can make or break your success in life. 
The good news is that it's possible to change how you manage your time and your priorities.  When you do, you'll likely notice a boost in your energy too. 
Here are my best tips and strategies to help:

Step 1. Define Your Priorities

Anyone with a long 'To-Do' list and a bunch of balls to juggle (that just about covers everyone) will want to get the most from their day - there just never seems to be enough time in each one. 
Organizing tasks and schedules are important aspects of effective time management, but it's not the place to start. 
The very first step is to identify what's MOST important to you. 
This step calls in the 'Big Rocks First' concept which holds that once you figure out what your personal priorities are, you can then organize your time to support them.
For example, my own 3 priorities in specific order are:  
  1. HEALTH (all aspects - physical, intellectual, soulful)
  2. FAMILY (my partner and kids first, extended family and friends next - because my friends are the family I've chosen)
  3. BUSINESS (clients, affiliates, colleagues, community members) 
Your priority list may be very different from mine, but the point is to start figuring out what's most important to you, and know what it is you want for yourself - your one wild and crazy life.
Understanding your motivations, recognizing your unique talents and gifts, and then cultivating your life in a way that best calls forth all of those gifts, and aligns with your passions and purpose, can be difficult work.  
Once you've figured it out though, you'll then be able to organize each month, each week, and every day by scheduling time in your planner for your priorities.  I recommend blocking out dedicated time for each of your priorities - for the entire month. 
With a little practice, you'll notice that you'll be less stressed and more energized - and more focused too.  You'll feel more in control and you'll also notice a boost in your productivity and how much you get accomplished each day. 

Step 2. Develop Self-Awareness

Even with your new plan, it'll take some time to break old habits and form new ones.  
The next step is to develop and practice some self-monitoring skills around your use of time to establish a baseline for your current behaviours.

Take a look at how you spend each day.
  • Where are you inefficient with your time?
  • Identify your 'Time Suckers' and determine if they're actually worth the time (gaming, binge-watching...)
  • How can those 'Time Suckers' be eliminated or reduced?

Step 3. Improve Your Use of Time

Armed with the information from the above exercise, you can now figure out how to make improvements on your time management.

Create a plan that serves you best with these stepping stones strategies: 
  1. Create a TIME BUDGET.  Outline how you want to spend your hours during a typical month/week/day based on the priorities you've identified. Include the 'musts' on your list as well as those things you like to do. Here's where you can add in the things that light you up, those that nourish your soul - those hobbies or interests that always get pushed off to the back burner because you just don't have time. 
  2. Track your use of time.  Use a day planner, a journal, a notebook, or a logbook to divide up how you utilize your time each day. Whether it's for business projects or client calls, self-care, physical activity and exercise, family time, travel, errands, meal prep, eating with your family - whatever it is that you spend time on, track it.  Evaluate how long you expected something to take and how long it actually takes too.
  3. Understand your natural rhythms.  Some of us have to be at work from a certain time of day to another.  Some are fortunate to have flexibility in their jobs or with their businesses. Some are most creative and productive at night, while others feel most energized first thing.  For some, mid-morning is the sweet-spot.  You may be someone who needs a nap or a coffee break mid-afternoon to stay focused. Segment your day so work and projects are scheduled when you're at your peak performance time when you know you'll be the most effective and productive.
  4. Factor in 'Buffer Time.'   When mapping out your schedule and filling in your workouts, project time, client calls, meal prep, and errands, add time into your plan for transitioning from one task to the next, traveling to and from.  Adding 10-30 minutes to your initial time estimates will prevent you from overscheduling yourself and will significantly reduce your stress level.
  5. Re-Evaluate.  Since you're now more aware of how you're investing your precious time, and recognizing the results of your increased productivity and reduced stress, you can ask yourself some important questions. How valuable is the outcome? Are you likely to realize the results you want if you keep doing what you've been doing?  Who'll be most affected if you do or don't finish? Once you have the answers to these questions, you can decide whether to soldier on, solicit help, delegate, complete at a future time, adjust or even abandon your project if it doesn't fit with your priorities. 
If you're noticing that you're spending 'too much time' on something, you can now adjust your schedule to accommodate it after figuring out if it's necessary and how to remedy it.    

Step 4. Develop Arrangement Skills

Once you've become more aware of how you're using your time, you can then begin to focus on arranging your schedule for maximum results and become a true master at planning out the best use of your most precious commodity. 

You'll be able to organize your tasks, projects and the time you need to support and achieve each goal in a way that utilizes your time most efficiently and productively. 

Here are some strategies to help:

  1. Understand the difference between the urgency of your tasks. Urgent tasks require immediate action.  Important tasks have long-term consequences.  Activities or tasks that are both urgent and important need your attention first. 
  2. When you're organizing your tasks and projects, meetings and family time, workouts, and 'To-Do' lists for the day, remember to include routine and recurring events and activities such as errands, cooking time, outdoor work, gym time...
  3. Use a Calendar App but be mindful of the 'out of sight - out of mind' effect. Apps that automatically record and colour-code tasks and appointments will help you improve how you structure your day and plan out your time but you do want to be able to actually SEE your entire month.  I begin with a paper copy for planning where I can see the whole month, and then once I figure everything out - plot it into my electronic calendar, adding reminders if necessary. 
  4. Make calendar appointments with yourself and commit to KEEPING those dates! This is a fantastic strategy to keep your self-care and workout time sacred and to honour your own personal needs.  Give yourself uninterrupted time for important projects, and personal development, as well as strategic planning time and time to tie up all those loose ends. 
  5. Re-evaluate your goals, intentions, and priorities regularly.  I do this each month. If something seems too large or challenging, break up the larger project into smaller steps and schedule time for those. 
And finally, remember to recognize all the progress you're making and celebrate your gains along the way. 

While managing your time and priorities effectively takes conscious effort and practice, once you've mastered this method, you'll 

  • increase your productivity
  • Have greater success achieving your goals
  • Feel less stressed and more in control
  • Enjoy a greater sense of happiness in your life

How to Master Your Mental Health & Up the Bliss Factor In Your Life

 


Mental Health? Check!

These past 24+ months have been pretty challenging, which is why it's so important to be mindful of the warning signs that your mental health is suffering. 
Physical symptoms can include frequent headaches, feeling fatigued and sluggish, an upset stomach, or a crabby attitude when you're normally chipper and happy.
Persistent changes to eating habits could include binge-eating or experiencing a lack of appetite altogether.  
Changes to sleeping habits could mean difficulty sleeping or achieving a restful sleep or finding it impossible to fall asleep. 
If you feel like you're no longer functioning optimally and your mood is affecting your enjoyment of life, then it might be time to make some changes.
Here are 5 tiny but mighty ways to start feeling better right now and increasing that bliss factor in your life: 

1. Physical Health Matters

Sounds so simple right?  But it's imperative that we take it back down to basics when we start to feel like it's getting to be too much. 
Ensure that you're Getting Enough Sleep - and check that you have a healthy 'Sleepy Time Routine' too: 
  • Come off screens at least an hour before bedtime and allow yourself a chance to wind down.
  • Dim the lights
  • Make your bed as comfy as possible
  • Adjust the temperature
  • Journal or write down what you'll do tomorrow (to get it off your mind)
  • Read
  • Meditate
  • Practice some deep breathing  
Ensure you're getting enough physical activity.  Pick a few things that you enjoy doing and aim for an hour of movement each day. 
When it comes to fueling your body, choose nutritious, whole foods in their most natural state as often as possible and avoid the extremes of 'starving' and stuffed' to keep your body's systems functioning optimally.  Aim to eat six times throughout the day. 
And don't forget to hydrate.  Your body will thank you!
When you're sleeping well, you're more likely to feel energized throughout the day.  When you're exercising regularly, you'll sleep more soundly, feel calmer and more alert during the day.  When you're eating well, your blood sugar will be more stable. 
All of this together results in feeling less stressed, fatigued, and moody during your waking hours. 

2. Dash The Unproductive Worry 


Know how to put the brakes on worries that you have zero control over. Rather than endlessly spinning your worry wheels, find a way to take action to alleviate what's on your mind.
If taking action isn't possible, give yourself permission to take a blissful mini-vacation from what's bothering you by immersing yourself in a soul-nourishing activity that lights you up.  

3. Stock Your Stress Management Toolkit

When it comes to managing stress, there's no 'One-Size-Fits-All' approach to it.  Having a good handle on how to manage your time helps reduce anxiety and adds calmness to your life.  So will knowing which stress management strategies work best for you.   
Take a mental health break every day and experiment with different types of self-care practices:
  • Relaxation Breathing
  • Visualization
  • Journaling
  • Mindfulness Meditation
  • Gratitude
  • Yoga or Stretching
  • Nature bathing
Whatever it is you like to do, add it right into your schedule every day so that you're prioritizing your self-care and your mental health.

4. Treat Yourself With Self-Compassion

When you're treating yourself with self-compassion and kindness, you're treating yourself as you would your best friend or a beloved family member who's going through some challenging times. 
Extending compassion to yourself:
  • Take the pressure off yourself to do too much in a day
  • Be gentle with the demands and expectations you put on yourself
  • Give yourself a break to do what you enjoy
  • Recognize that it's OK just to rest
Taking time to rejuvenate is a powerful, science-based strategy for quieting your inner critical voice that likes to lay blame and shame.  
That Nasty Gremlin (yes, I have one too - sounds just like my Mom) only serves to fuel anxiety and depression. 

5. Ask For Support

If you're finding it difficult to cope or if you're having trouble focusing throughout the day, recognize that you're human and reach out to someone close to you.  We're community beings and connection with others staves off depression and anxiety. 

You are not alone.  If you're finding things really tough, don't hesitate to seek support from a mental health professional.  

You deserve to feel happy in this life.

How to Happily Fail Your Way To Success & Thrive

 


FAILURE. There! I said it.  That nasty word.
That's one of Life's toughest lessons right there.  
No one wants to fail at anything - not school, relationships, life, business, sports, health... you name it, we want success, not failure.  
And the more SUCCESS, the better.  The 95% on that mid-term is way better than the 63% - which is absolutely better than the 45%.
Failure, however, is impossible to avoid entirely.  
Even the most talented athlete, the most sought-after artist, the music prodigy, and the math wiz will have their challenges in life ... and will even fail at things too. 
Life is funny that way - always making us grow and stretch and BECOME someone better than we were last year, last week, even yesterday.  
Failures, setbacks, and obstacles are just a part of the human experience and some failure along the way is not only expected but can actually be beneficial, even inspiring. 
With failure, comes lessons.
We can learn from failure.  
Knowledge and wisdom can be gained when we recognize what went wrong, even though mistakes can be painful, difficult to admit, and the worst:  humiliating. 
Failure, and our recognition of the lessons it brings, can inspire continued drive and courage. 
Take Colonel Sanders for example.  At 65 years of age, he was retired and all he had in his wallet was his meager social security cheque and a chicken recipe - and an idea.  
The Colonel's plan was rejected more than a hundred times (yes...100+ times) before he succeeded and founded Kentucky Fried Chicken - KFC as we know it today. 
And his story of failure, and success, is far from unique. 
  • Arianna Huffington was rejected by 36 publishers
  • Bill Gates' first company didn't make it
  • Walt Disney was told he lacked creativity (really???)
  • Steve Jobs was ousted from the company he created by his own board of directors (gasp!!)
  • 3 times a charm for Milton Hershey. Hershey's was his 4th attempt at a candy-related venture
  • 1,000+ attempts for Thomas Edison to successfully create his light bulb 
Imagine if he'd given up at 999?
When we're open about our mistakes and share our stories of failure in life, in business, in relationships, as students, with finances, and so on... we share honesty, vulnerability and here's the best part:  we save others from making the same mistakes we've made.  
We have the chance to inspire others to learn from our missteps and DO Better!
Here are my very best tips for failing YOUR way to success:

1. Adopt A Positive Attitude


Yes, you read that correctly.  Your attitude about something is entirely your choice. It can apply in times of failure too.  
Is failing painful?  Of course, it is.  
Is it humbling?  It certainly can be.  
Is it a powerful, driving force?  Absolutely! If you let it be.
Adopting a neutral perspective allows you to move from being reactive and acting on impulse, to being proactive and taking a deliberate approach to problem-solving.  
According to Author, Stephen Covey, "even when circumstances limit choices, a pro-active person will find where they can think logically instead of getting emotionally hijacked." 
Thinking proactively will allow you to ask better questions.  Consider that failure actually serves you. It's taught you what didn't work, bringing you a step closer to success.  In this way, failure is still progress.   
  • What did you learn from your failed experience?
  • What can you control in the situation? 
  • What new, innovative solutions can you come up with to try next?
  • What can you do instead as you move forward and try again?

2. Become Crystal Clear


This step will take some quiet, reflective time.  To achieve success in anything that you want Gain Clarity. 
Consider what you REALLY want for yourself and what you want to create for your future. 
What is it that you REALLY want to achieve?
Become SO clear about it that you can taste that success, you can smell the achievement of that goal. 
VISUALIZE what it is that you really want to accomplish. 
Imagine yourself winning that goal. 
Your brain is an incredible instrument of achievement.  It will actually go to work for you while you're sleeping, coming up with solutions for you to achieve what you want.  Harness that incredible power by seeing your goal in your mind's eye.   
Journal about it. Talk about it with your partner.  Devise a plan. 
What do you need to do, who do you need to become, who do you need to know to achieve your goal? Consider how you'll organize your time, manage your resources and streamline your processes to support your goals and your primary core values.  
Become crystal clear and laser-focused about it.   

3. Prioritize Your Time

It's easy to get distracted by all the things going on in the day - the kids, the family, the pages long 'To Do' list, the boss' agenda and deadlines for work, the news, and social media.  Chances are, you wear plenty of hats with a whole bunch of demands on your time.
So be smart about how you spend your precious minutes.  
Pick what means the most to you and organize your day with your priorities in mind.  
EVERY WEEK (I usually do this on Sundays to set up my week for success) 
  1. Take some time to organize your schedule
  2. Schedule in your work commitments and family time, 
  3. Add in time for your daily and weekly errands and after that
  4. Take a look at all the available time you have to get your big rocks in
  5. DECIDE what's most important to YOU (Self-Care Practices, Exercise, Soul nourishing activities, what will bring you closer to your big goals?)
  6. Add in those blocks of time and then HONOUR your schedule - keep those dates with yourself 
  7. Add some buffer time around each - to reduce your stress level and not let your schedule get overwhelming - but FOLLOW your schedule. 
Practicing this one time management success strategy will help you take control of your time - and win the day - everyday.  PLUS you'll lead a more balanced life and move closer to what it is that you want to achieve.  

4. Prioritize Yourself

Before you can take care of everything else in your life, all the other people who depend on you, it's important to take care of yourself.  
Be sure to devote some time each day to honour your body, expand your mind and nourish our soul - it's the very best thing you can do for yourself. 
If you don't have time in your schedule for your own daily self-care routine, it's time to remedy that because we really can't pour from an empty cup.  
If you're not able to get the things that are most important to you into your day, week and month, (like time for yourself and for the things that light you up) what you have is a time management challenge - not a time challenge.
When you're on a mission to achieve something fantastic, it's going to take time and dedication.  It may mean reorganizing your schedule so that you make achieving your goal a priority.  
Here's what I mean:
  • If you're looking to get healthy and fit and reach your ideal weight, you'll need to schedule time for daily physical activity, learn what it takes to be healthy and fit and make wise food choices.  Some changes may need to be made.  
  • If you're looking to open a new business that you love, you'll likely need to learn some new skill sets, learn about marketing and business and put together a plan for your success.
  • If you're looking to find your soul-level love match and start a family, you may need to change a few things in your life to accommodate those plans.
  • If you're looking to become debt-free or buy a new home, you may need to get your financial strategies sorted out and devise a personal prosperity plan and if you're half of a partnership, you'll need to get your partner on board. 
Your awesome goals and dreams are worthy of your time and consistent, persistent efforts.  Putting yourself on your own schedule, and making you and what you want for your life does take practice.  So keep at it and aim for progress every day (as opposed to perfection). 
Do something to move closer to success every single day.  Schedule it right into your planner.

5. Believe & Become

Check in with yourself about what you believe is possible - for yourself and for your life. 

And then BELIEVE in the power of your dreams and goals - and your own ability to make those things happen.  

ACT with purpose. As you become more practiced in thinking proactively, and asking better questions to reach more successful outcomes, it's important to factor your values into your vision. 

Once you believe that you can do it, DECIDE you will...and then get busy putting together your success plan.  Acknowledging what matters, the goals you're chasing and the impact you want to make will help you align your decisions. 

If you're serious about your success, chances are, your plan will begin with some goalsetting.  Start with making a S.M.A.R.T.E.R. Action Plan to achieve what you want.  Check out my blog post about Goal Setting.  I break down the art of goal setting into a simple stepping-stone process.  

Have the attitude that you will not stop until you achieve your goal.  When something doesn't work - evaluate what when wrong and then, just try a different approach. 

  • Take another run at it.  
  • Learn some more about it.  
  • Become who you need to be to win that goal and succeed. 

Overcoming setbacks will challenge your mental toughness and your ability to persevere through the chaos, control your emotion and remain committed to achieving your desired outcomes. 

To enhance your resiliency
  1. Create certainty by filling yourself with the belief that success is a foregone conclusion - the ONLY possible result.  
  2. Clearly visualize the outcome before it materializes
  3. Be singularly focused on executing the priorities that'll lead to your desired results
The next time you feel discouraged, ready to toss in the towel and give up on your goal or dream, consider these inspiring words of wisdom from Thomas Edison: 
"I have found 10,000 ways something won't work. I am not discouraged. Every wrong attempt discarded is another step forward."

How to Spring Clean Your Life & Instantly Add More Bliss

 


Ah, Spring! How I love the promises you bring: Refreshment, Rejuvenation, Renewal & Rebirth... and those gorgeous blooms of colour that deliver hope and happiness. 
Spring is officially here and with it, new energy and renewed hope, longer days, and more sunshine to brighten up our lives - and our moods. 
This is the perfect time to refocus and take a fresh outlook on our lives and I do this exercise every spring to 'clear out the cobwebs' and move forward with purpose and intention.
Use the questions below as an exercise to find some added inspiration, motivation, and clarity to create YOUR Masterpiece Life - the life you love. 
  • Take as long as you need.
  • Answer all of them or pick the ones that interest you most. 
Consider them while you're on your treadmill or taking a walk in the sun.  Enjoy them with a coffee or tea and your journal, discuss them with your friends, or book club at your weekly Zoom meeting. 

1. What does 'Spring Clean Your Life' mean to you?


What would you're life look like in every area if it was 'cleaned up' a bit? 
Set aside some time to journal or make a list in your notebook. Create a vision for what your life would look like if all the clutter and excess were removed from it.  
Consider each area of your life:
  1. Your relationships
  2. Your profession or business
  3. Your health-care & self-care routines
  4. Your home life
Consider how you'll feel if you streamlined your processes and managed your time to support your goals and your primary values.  
Consider what you REALLY want for yourself and to create in your future. 
Write about that in your journal or notebook.

2. What needs Spring Cleaning?

This could be physical - maybe you need to make wiser food choices, hydrate more each day, improve your sleep or physical exercise routines.  
This could be emotional - maybe your relationships aren't as healthy as they could be.  Maybe you need to add in some daily self-care to help you find more balance, connect with your heart or nourish your soul.
This could be mental - Maybe you need to get your finances in order.  Maybe you could revisit your goals, have a look at what's been working, what isn't and what needs to adjust moving forward. 
This could be intellectual - Maybe you need to spend more time learning new things or developing your unique talents and strengths. 

3. What cobwebs can you sweep away?

To really appreciate the beauty in your life consider: 
  • What's cluttering your space?
  • What's cluttering your mind?
  • What are your time-suckers?
  • Where can you 'freshen up' your attitude?
  • Are there people in your life you're better off parting ways with?
  • Are there things in your life you're better off parting ways with?
  • Are there things you can clear out to make more space for positivity or for what makes you happy?

4. What can you let go of?

Make a list of what's no longer serving your purposes and goals. 

  • Where does life feel heavy?
  • What would lighten that weight - on your shoulders, on your mind?
  • What can you DO to find relief?
  • How can you release that weight? 
To find relief, perhaps you could write an e-mail, forgive, accept, let go of a no-longer-relevant goal or release an unhealthy relationship. 
Maybe you can take up a new activity, create a new habit or goal that will add happiness to your life. 

5. What will you begin?

Make a list of all the things you'd like to do.  Get really specific with it.

There's something exciting about beginning something new. 

What do you need? Would makes your heart sing?  What have you always wanted to do but have put off? How can you do more of that?

Now's the perfect time to develop that talent or take up a new hobby. 

Some other ideas:  start a garden, write a book, take up blogging or start a journaling practice, learn to cook, commit to a daily workout routine or start a daily self-care practice, do some online art courses, learn an instrument or a language, spend time learning a new skill. 

6. What are your energy-zappers?


Spring is a great time to evaluate your energy levels.  What are you tolerating?  Make a list of what sucks the life force out of you.  

Examples could include unresolved conflicts, cluttered or messy spaces, plants that are no longer thriving, relationships that are no longer thriving, unfinished projects, unmade decisions, limiting beliefs, lack of focus or clarity, unrealistic expectations.

These little thiefs are great items to remove from your life.

Consciously make a plan to eliminate, reduce, delegate or even pay someone to help you check off all the items on this list.  You'll immediately feel lighter and freer.  

7. What do you need to Just Get Done?

Undone projects.  Half-baked plans.  Storage areas that are packed with everything we meant to finish but didn't.  The things we left unfinished actually eat away at us. 

What are you procrastinating over?  Make a list of THOSE items.

Next, make some time in your schedule each month, or solicit some assistance of get your family onboard, pay someone to help if you must, but actually finish one of those things.  

Make it a goal to get one of those things completed each month until your list if done.

You'll feel so much better when you Just Do It!

8. What 1 new habit would put a spring in your step?


Make a list, ponder or journal about your ideas in this area: 

  • What excites you? 
  • What will support your physical, mental or soulful health?
  • Do you need a new morning routine or evening routine that includes some regular self-care?
  • How's your health-care plan?  
  • Do you get some movement in each day?
  • Are you eating well?
  • Sleeping enough?
  • Doing things that light you up and nourish your soul?

What excites you or offers relief?  What will make you feel fantastic? 

Once you have your list, choose 1 thing (with multiple benefits, if possible) but do it daily.  And remember:

Aim for Progress, Not Perfection

Take the pressure off yourself. If you forget, that's totally fine.  Just start fresh the next day and try your best.  Your best effort is good enough.

9. What are your Top 3 Spring Goals?

We can't spring forward without a direction.  Set some targets for yourself.  You can't hit them unless you set them, so consider where you want to be in 3 months time.  
  • What do you want to be the same? 
  • What do you want to be different? 
  • What do you want more of?
  • What do you want to see less of?
Identify some fresh ideas and goals for this beautiful season.

Write them down.  Did you know that you're so much more likely to achieve success if you write your goals down?
